A Document Store for Your AI Agent

What your agent can save and read back, file types and limits, how upload links and encryption work, and why JustOnce runs no OCR.

Keep your PDFs, photos and notes in a document store your agent connects to. In JustOnce, your AI reads the file, saves what it says, and keeps the original with it. Later, ask whichever assistant you've connected what the document said, or open the original at app.justonce.ai. It takes nine file types up to 25 MB.

Keeping the two together matters more than it sounds. A file you can't find is no use, and a file your assistant can't answer from isn't much better. The point of a document store for your agent is the pair: the original, plus what it says, in one place your agent can search.

What the single-assistant tools already do well

If all your files belong to one assistant, its own tools may be all you need.

Each of these keeps the file inside that company's app. JustOnce keeps it in a memory layer your agent connects to, so the file and what it says sit in one place, outside any one assistant.

Does JustOnce read my documents?

JustOnce runs no OCR. Your AI does the reading; JustOnce does the remembering.

In practice, you hand your assistant the file and ask it to read and save it:

Read this home insurance schedule. Save the insurer, policy number, excess, claims phone line and renewal date to JustOnce, and keep the original PDF with them.

Your assistant reads the document, writes down what it says, and sends both to JustOnce. That transcription is what makes the file answerable later. If an assistant saves a PDF or photo without reading it, all JustOnce has is its title, so always ask it to read the file as it saves it.

Photos work the same way. Snap it, and your AI reads it and saves the facts; the original photo is attached. Photos need to be JPEG, PNG, GIF or WebP. HEIC isn't accepted, so if your phone saves HEIC, share the photo as a JPEG.

How does my agent save a file?

Small files, inside the chat. For a short letter or a receipt, your assistant can send the file and its transcription straight to JustOnce in one step. This path is meant for small files.

Bigger files, through an upload link. For a 40-page contract or a scanned statement, ask:

Read this file, then give me a JustOnce upload link for it and save what it says with it.

Attach the file in the chat first so your assistant can read it. The link carries the original; your assistant's reading is what makes it answerable. If it skips the reading, the upload keeps the file but saves only its title, and your agent can't answer from it.

Your assistant gives you a link. Open it in your browser and choose the file. The link works once and lasts 15 minutes, and the file goes from your browser straight into encrypted storage. Afterwards your assistant can check that the upload landed and how many memories it made.

File types PDF, JPEG, PNG, GIF, WebP, TXT, CSV, DOCX, XLSX
Largest file 25 MB
Upload link Works once, lasts 15 minutes
Not accepted HEIC photos, Markdown files (save notes as TXT)

What can my agent read back later?

  • What the document said. Ask later, in a new chat in whichever assistant you've connected: "What's the excess on the home insurance?" It answers from the facts saved with the file.
  • The original. Open it any time at app.justonce.ai.
  • History. If the policy renews and your assistant corrects the existing memory, the old excess is kept. Corrections keep the old value — ask what was true last March.

Every assistant you connect sees the same memories, including the facts saved from your documents, ChatGPT included. As of 26 October 2026, JustOnce works with Claude, ChatGPT (Business, Enterprise and Edu), Cursor, VS Code, Gemini CLI, Codex and Claude Code. On ChatGPT Pro your assistant can read your memory but not save to it, and through ChatGPT, JustOnce refuses to save what looks like a password, PIN, card, bank or ID number.

Dates become reminders

Documents are full of dates: renewals, expiries, appointments. Dates in your memories become reminders — on your calendar at app.justonce.ai and by email. At most one reminder email arrives a day.

Email, too

On a paid plan, forward email to your private address — it's read with your own Anthropic, OpenAI or Google key. Without a key of your own, forwarded email isn't saved yet.

What it costs

Recall and search are always free, on every plan. Saving draws on your monthly pages: a page is 2,000 characters of text, and a save is refused once the month's pages are used up.

Plus 120
Pro 400

Sharing a document with someone

On Plus or Pro you can share a space with the people you choose. Share the memory a file is attached to and the file goes with it — members open it in the web app. Each member's own assistant recalls what's shared with them, credited to the person who shared it ("Shared with you by Sam").

If your assistant saves a file into a space, it's saved privately at once, and the share into the space waits for you. When your assistant asks to share something or invite someone, nothing is shared or sent until you approve it in JustOnce. Approve it in the app — we ask you to confirm it's you. The sharing guide covers the rest.

Is it safe to keep documents here?

It's encrypted at rest with AES-256-GCM — memories under a key for their space, documents under a key for your account. JustOnce holds the keys, so it isn't end-to-end. JustOnce never uses your memories to train AI models, and our AI provider, Anthropic, doesn't train on them either.

Keep passwords, PINs and full card numbers out of it. A document store is for records you want your agent to answer from, not for secrets.

Getting started

Connect your assistant (the setup guide and the connect page have the steps for each one), then hand it the document you look up most often. The documents and email use case has more examples, and the features page shows how documents fit with the rest of your agent's memory.

Never look anything up twice

Store it once. Ask when you need it. justonce.ai is free to start.
